PyCon India - A welcoming and inclusive place for all

We, at PyCon India 2023, are taking numerous measures to ensure that this conference is going to be a welcoming and inclusive event for all attendees.

Measures we've taken to ensure a safe and inclusive environment

  • There's a Code of Conduct workgroup in place to address issues and resolve conflicts in case of any incident.
  • Assistance will be provided for seeking accommodation.
  • High-quality food and purified water will be arranged during the event.
  • Respect for data privacy (your personal data will not be shared by us with any third party without your consent).
  • Policy in place to ensure no bullying and harassment.

The vision of PyCon India 2023, similar to past editions, is to create an inclusive environment that promotes knowledge sharing and diversity in thoughts and ideas. Thus, we would like the conference to be as inclusive as possible and ensure that the conference approaches everyone with respect, and that we resolve differences peacefully. In particular, we will proactively extend our invitation to women, provide support for students, and ensure that people with disabilities feel welcome at the conference.

Here are a few things we can assure our physically challenged/neuro-divergent attendees, to ensure they have a comfortable and safe environment to connect with the Python community.

Content

  • We will ensure our website https://in.pycon.org is accessible, and that our website follows accessibility guidelines.
  • We will ensure that announcements (like speaker details, schedule, etc.) that we circulate before the conference, are accessible.
  • We will avoid the presence of blinking text, and glaring colors in the announcements.
  • We will ensure that sign boards are designed with good contrast between background and foreground so that it is visible clearly. Registration
  • The conference tickets are sold out. Please contact tickets@in.pycon.org for requests about ticket transfers. You can still get the workshop and tinkering space tickets at https://konfhub.com/pyconindia2023#tickets.

A few weeks before the event, we will share a form that requests accessibility needs from the attendees. We will try our best to accommodate attendee requests.

Venue Accessibility

We have ensured the following at both the venues:

  • The main entrance, ans the auditorium is wheelchair accessible. The team is working on ensuring lunch area, and more avenues are accessible for people with disabilities.
  • Ramps near the main entrance will have "No Parking" signs to ensure the way to ramps is not blocked.
  • Wheelchair-accessible restrooms are available at the venue.
  • Doorways and important routes are at least 32 inches wide.
  • Empty spaces in front or back of halls for wheelchair users.
  • Direction signage with optional distance information.
  • Proper lighting in the pathways to make navigation easier.
  • The pathways will be obstacle-free. The stall owners, volunteers, and attendees will be briefed on the importance of this.
  • Layout information and the session schedule will be published on the website before the conference event days.

New Tracks for Young Learners and Families

We have thought deeply and worked hard to make the event more inclusive by creating two new tracks for young learners and families:

  • Young Learners Workshop (YLW)

    • YLW aims to nurture school students through hands-on learning experiences with Python and Raspberry Pi devices. You can read more about YLW at https://in.pycon.org/2023/ylw/.
  • Tinkering Space

    • The track was designed as an inclusive event for parents to spend time with their children tinkering with electronics (Raspberry Pi Pico, STEM kits, etc.) and Python. You can read more about the track here: https://in.pycon.org/2023/tinkering-space/.

Diversity efforts

We realize the need for wider adoption of diversity initiatives at organizations and academia. To build on the momentum set by previous conference editions, we are working on bringing a Panel Discussion on Inclusivity at Organizations.

During Session/Conference

  • We will make a lapel mic available for people with disabilities.
  • Keep a few chairs reserved in the front for people with visual and hearing disabilities.
  • The printed session schedule will also be available electronically, in large print.
  • Presenters will be reminded that all slides, videos, and visual demos will need to be described as part of the spoken presentation.
  • Volunteers to help with slide advancement.
  • Request presenters to ensure the presence of Closed Captions (CC) if there is any video displayed.

Volunteers and Medical Support

  • A dedicated contact number to call in case of any need or issue. We will share this with you a few days before the conference.
  • A doctor will be available at the venue. Their contact information and contact information on local hospital facilities will be provided.
  • Volunteers/Office Bearers will be sensitized to the needs of the physically challenged and neuro-divergent participants.
  • We hope to collect feedback from the participants with disabilities so that any gap in facilities can be filled in future events and the best practices can be emulated.

If you have any specific needs, please write to us at contact@in.pycon.org. We are ready to help.

Further, we would like to offer the following facilities for women to welcome their active participation:

  • For parents traveling with young kids, childcare services can be provided on request near the venue for kids aged 5 years or below Please reach out to us with your childcare needs at contact@in.pycon.org.
  • The above-mentioned facilities are available only for the conference days: 30th September, 1st October.
  • If there is sufficient demand we will consider extending this to the Workshop day and Dev sprints as well.

PyCon India 2023 takes the experience of the attendees at the conference very seriously. We are committed to providing a positive, harassment-free conference experience for every participant, irrespective of their gender, sexual orientation, disability, physical appearance, body size, race, religion, etc. We hope the spirit of the Python community will transcend to create a harmonious experience. We have a strong Code of Conduct to set the right expectations and a Reporting Guide to effectively handle any issue that might arise. Our team will be available always to help you and assist you in feeling safe during the duration of the event.

You may want to bring a companion/caregiver with you who will not be attending the conference. They may just accompany you because you are traveling from afar or you have a young kid for whom you would prefer your caregiver. In such essential cases, please let the team know by providing the necessary information in the accommodation form. We will try our best to accommodate your request.

We will be providing water bottles at the venue. However, we request you all to bring your own water bottles to help us reduce plastic waste.

Join the Fun: Participate in DevSprints at PyCon India 2023

PyCon India 2023 is the perfect place to get started with contributing to open-source projects. We are organizing DevSprints on 2nd October 2023.

What are DevSprints?

Devsprints are a whole-day event organized at PyCon India 2023 to promote open-source contribution and bring more people into the open-source community.

Are you interested in making your first open-source contribution? Or are you a seasoned contributor looking to help out others? Then Devsprints is the place for you! At Devsprints, active contributors of open-source projects are there to guide you through the process of making your very first open-source contribution. Right from setting up the build environments, to developing and testing code, to submitting patches for bugs and features. If you are stuck anywhere, the mentors and your fellow contributors will be right there to help you figure out issues and resolve them as best as they can! Many participants have started their open-source journey at PyCon India DevSprints and have gone on to become regular contributors to various open-source projects.

Who can participate?

You! Whether you're a seasoned contributor or just starting, the DevSprints at PyCon India 2023 are the perfect opportunity to get to work. Our mentors will be on hand to provide instant help whenever you need it, so you can keep moving forward. It is a great opportunity to get accustomed to the ways of the open-source and contribute to the projects you love.

What good is a tech conference without getting your hands dirty writing some code?

When and Where?

After the conference, we will be organizing DevSprints on 2nd October 2023. The DevSprints will be held at Phenom People Pvt Ltd, Whitefield, Kondapur.

The timings for the DevSprints will be from 09:00 AM to 5:00 PM.

How to participate?

You do not need any additional tickets to participate in the Devsprints. Any person with a valid Conference ticket is free to attend devsprints. However, the capacity of the venue is limited. Entry will be permitted on a first come first serve basis at the Venue.

Looking for new Contributors for your project?

If you're a contributor or maintainer of an open-source project, we invite you to mentor your project in the PyCon India 2023 DevSprints. Ideally, you should have a history with the project through previous code commits. You will help new contributors set up their development environment, list out good first issues that new contributors can easily get started with, and guide folks on any problems they face during the event.

How to add your Project?

You can head over to Devsprints CFP and submit your proposal.

Any maintainer is welcome to add a project. There will be no shortlisting of projects. We are using the CFP platform to make it easier to manage and keep the projects in one place.

If you have any questions regarding the dev sprints, be sure to reach out to us on Zulip over on the #2023/devsprints stream!

A Platform for Sharing and Exploring: BoFs and Poster Sessions at PyCon India 2023

As the anticipation for PyCon India 2023 builds, so does the excitement of connecting with fellow Python enthusiasts and sharing our passions.

Birds of a Feather (BoF) Sessions: Embracing Open Discussions

Much like the vibrant diversity of bird species, PyCon India showcases the beauty of 'Birds of a Feather' – where Python enthusiasts from various backgrounds gather to discuss their common passions or interests without a pre-planned agenda. BoFs are a space to exchange ideas, share personal experiences, and learn from one another in a relaxed and inclusive atmosphere. They provide a platform for lighthearted discussions and deep dives into technical subjects alike.

BoF sessions last an hour and are a delightful mix of seriousness and fun. BoFs can be serious, and a great way to gather the people from the community in a common space to deep dive on a topic, but they can also bring opportunities to learn while having a lot of fun! At this year's conference, we will be having a specially planned BoF on Python IDE’s.

If you're passionate about something you like to share and explore with the community, why not propose a BoF session? As a moderator, you'll guide the discussion, ensuring everyone's voice is heard.

Propose a Birds of a Feather Session now!!

**Please include a brief description of the BoF and potential panelists in your proposal.

  • BoF Session CFP closes: 19th August 2023

Poster Presentation Sessions: Visualizing Ideas, Fostering Connections

Are you excited about showcasing a Python project, idea, or concept?

PyCon India 2023 is bringing you a creative avenue for just that with Poster Presentation sessions. These sessions are a canvas for creativity, covering everything from hardware projects to niche topics.

PyCon India 2023 will be having a Poster Presentation session on both conference days in the second half - Between the second and third Keynote. During the poster presentation session, you will be provided with a poster board that can hold an A0 size poster, and a table to place your laptop, for demos. Conference attendees interested in your topic will stop by, during which you can give them a brief presentation/demo.

What makes a good poster?

Here are a few tips for creating the poster:

  • Ensure that you select a good title. Conference attendees will use it to determine which posters to attend.
  • While textual representation is good, graphical representation will attract more eyes
  • Make sure the contents are properly sized and spaced in the poster so that it is viewable from decent distance
  • Provoke the reader's curiosity which will open up space for further discussions
  • Provide links for the attendees to know more about the topic and connect with you / the community

You can check the poster proposals from other conferences:

Submit your poster proposal now and join us at PyCon India 2023 to ignite discussions and connect with a community of like-minded individuals!

Here are some important dates you should remember:

  • Poster CFP closes: 19th August 2023
  • Selected posters announce: 4th September 2023
  • Draft posters to be submitted On: 18th September 2023
  • Posters will be presented on: 30th September and 1st October, 2023

Fostering the Community: PyCon India 2023

Whether you're passionate about leading a BoF discussion or presenting a captivating poster, your participation contributes to the vibrancy of the Python community.
